How to make a receipt

1. Add your business details. Your name, address and contact details go at the top. Add a logo if you have one.
2. Add the customer. A name is enough for most receipts; add an address or email if your customer needs it for their records.
3. List what was sold. One line per item or service, with quantity and price. Add sales tax, a discount or shipping if they apply.
4. Choose how they paid and download the PDF. Print it, or email or text it to your customer.

What to put on a receipt

A clear receipt answers who was paid, by whom, for what, how much and when. Include:

• Your business name and contact details
• A receipt number, so you and your customer can refer to it later
• The date of payment
• Each item or service with its quantity and price
• Sales tax, discounts and the total
• How the customer paid, such as cash, card or check, and any balance still due

Sales receipt: a receipt for a purchase

A sales receipt, or receipt for purchase, lists what a customer bought: each item with its quantity and price, then sales tax and the total, the date and how they paid. Use an itemized sales receipt when you sell goods or services and the customer, or your bookkeeper, needs to see the detail. If you only need to confirm that a sum of money arrived, a payment receipt is shorter. The receipt maker above makes a sales receipt for your own sales; it does not copy any other store's receipt.

Receipt, invoice or payment receipt?

A receipt confirms that a customer has paid. An invoice asks them to pay, so you send it before the money arrives. If you quote a job first, send an estimate. If you only need to confirm that a sum of money arrived, such as a deposit or a private sale, use a payment receipt. For gifts to a charity, use a donation receipt. Landlords making receipts for a tenant's rent can use the rent receipt maker.

Who uses a receipt maker

Small businesses that do not have a point-of-sale system: contractors, cleaners, tutors, photographers, stylists, food vendors and anyone selling at markets or online. A written receipt gives your customer proof of payment and gives you a record for your books and taxes.

Keep a copy for your records
