How to write a rent receipt
- Add your name as the landlord or the name of your property management company.
- Add the tenant and the rental address, including the unit number.
- Enter the rent period and the amount. Add a late fee or other charge if there is one.
- Choose how the rent was paid, type your name as the person who received it, and download the PDF.
What a rent receipt should include
- The date the rent was received and a receipt number
- The landlord's name and the tenant's name
- The address of the rental, with the unit number
- The rent period the payment covers, such as October 1 to October 31
- The amount received, any late fee or other charge, and the balance still owed
- How it was paid: cash, check, money order or a payment app, with the check or order number
- The name and signature of the person who received the money
Why rent receipts matter
Cash, money orders and payment apps do not always leave a clear record that a specific month's rent was paid. A receipt gives the tenant proof of payment and gives you a record of what was received, when and for which period. That helps if there is a dispute, when a tenant applies for a new place or for rental assistance, and at tax time.
When to give a receipt
- Every time rent is paid in cash or by money order
- When a tenant asks for one, whatever the payment method
- For partial payments, so the balance due is written down
Rules differ between states and cities. Check your local landlord-tenant rules for what a receipt must show and how long you need to keep records.
Security deposit receipt
A security deposit is a one-off payment, not rent for a period, so it gets its own receipt. Use the security deposit receipt maker: it says that the money is a deposit, names the rental address and notes the date it was received.
Rent receipt, rent invoice or business receipt?
A rent receipt confirms rent that has been paid, so it carries the rental address and the rent period. A rent invoice asks for rent that is still due, so it comes before the money does. If you also sell goods or services, use the receipt maker; for money that is not rent, such as a private sale or a deposit on a purchase, use a payment receipt; and to quote a repair or a job, send an estimate. To keep a running record of rent charged and paid, with the balance after each payment, use a rent ledger.
Example rent receipt
Here is an example receipt for rent, filled in the way you would fill in your own: one page, with everything a tenant or a landlord would want to check later.
- Landlord and tenant. The landlord's name and contact details are at the top, and the tenant's name is under Received from.
- Property. The rental address, including the unit number, so the receipt can be tied to one lease.
- Rent period. The line reads Rent for Oct 1, 2026 to Oct 31, 2026, so there is no doubt which month was paid.
- Amount and balance. The total due, the amount received and, if the payment was short, the balance still owed. A full payment is stamped PAID.
- Payment method. Cash, check or money order, with the check or money order number. This is the detail that settles most arguments.
- Signature. The name of the person who received the money, with a signature line for a hand signature.
Questions people ask
Do landlords have to give rent receipts?
It depends on the state. Some states, such as New York, require a written receipt when rent is paid in cash or in another form that does not leave a record. Even where it is not required, a receipt protects both of you if there is ever a question about what was paid. Check your state's landlord-tenant rules.
What should a rent receipt include?
The date paid, the amount, the tenant's name, the property address, the rent period it covers, how it was paid, the name of the person who received it, and any balance still owed.
Is a rent receipt the same as a rental receipt?
Yes. Both names mean a written confirmation that a landlord received rent from a tenant. The document is the same whichever name you use.
Where can I get a free printable rent receipt template?
On our rent receipt template page. It has a free blank rent receipt template as a PDF to fill in by hand and as a Word file you can type into, with three receipts per Letter page, so it works as a rent receipt book. If you would rather not use a template, this page makes a rent receipt for you and adds up late fees.
Can I make a rent receipt for a partial payment?
Yes. Untick Paid in full and enter the amount you received. The receipt shows the total due, the amount received and the balance due.
Can I include a late fee or other charges?
Yes. Add a late fee, and one other charge such as parking or utilities, with its own label. They appear as separate lines above the total.
Is it free and private?
Yes. You do not need an account and nothing is uploaded: the PDF is made in your browser. Your landlord details and recent receipts can be remembered on this device to make next month's receipt faster.
How do I make next month's receipt?
Choose Start the next receipt. The tenant, property and rent amount are copied from your last receipt, the receipt number goes up by one and the rent period moves on by one month.
Can a tenant use this to make their own receipt?
A rent receipt should come from the person who received the money. Tenants can fill it in for their landlord to check and sign, but should not sign it themselves.
