How to write a receipt of payment
- Add who received the money. Your name or your business. An address is optional.
- Add who paid. The payer's name, and an address if you have it.
- Say what the payment is for and how much. Be specific: the item, the service or the month it covers.
- Choose how it was paid, add a note if there is a balance, type your name and download the PDF.
What a payment receipt should include
- The date the money was received and a receipt number
- The name of the person or business that received it, and of the payer
- The amount received
- What the payment was for, in specific words
- How it was paid: cash, check, Zelle, Venmo, card or bank transfer, with a reference if there is one
- The balance still owed, if it is a part payment, and when it is due
- The name and signature of the person who received the money
When to use a payment receipt
- A deposit on a car, a piece of equipment or a booking
- A private sale between two people, where there is no store receipt
- Payment for a service, such as tutoring, repairs or a one-off job
- A part payment, with the balance and the due date written down
- Money received in cash, where no bank record exists
Payment receipt or something else?
A payment receipt confirms money received and does not list products, so it is shorter than a regular receipt. If you sold items with quantities and sales tax, use the receipt maker. For a tenant's monthly rent, the rent receipt maker adds the rental address and the rent period, and a security deposit receipt is worded for a deposit. For a private car sale there is a car sale receipt with the VIN and odometer, and for child care payments a daycare receipt. To ask for money that is still owed, send an invoice. For a gift to a charity, use a donation receipt, which carries the statements donors need for their taxes.
Example payment receipt
A finished payment receipt for a deposit on a private car sale. It says what the money was for and what is still owed.
- Who received the money. The name and phone number of the person or business that was paid.
- Who paid. The payer's name and address, under Received from.
- What it was for. One clear line: here, a deposit on a 2016 Honda Civic, with the end of the VIN. The more exact this line, the better the receipt works as a record.
- Amount received. The amount, and the payment method with a reference if there is one.
- Notes. The rest of the story: here, that the remaining $6,000 is due at pickup on a given date.
- Signature. The name of the person who received the payment.

What is a payment receipt?
A payment receipt, also called a receipt of payment, is a written confirmation that someone received money. It names who paid, who was paid, how much, when, how and what the payment was for.
What should a payment receipt include?
The date, the amount received, the payer's name, the name of the person or business that received the money, what the payment was for, how it was paid and a receipt number. If it is a part payment, add the balance still owed.
Is a receipt of payment legally binding?
A receipt is evidence that a payment was made, not a contract. It is most useful when it says exactly what the money was for, for example a deposit on a car or a first month of services. For large amounts, ask a lawyer whether you also need a written agreement.
Can I make a payment receipt for a deposit or a partial payment?
Yes. Describe the payment, untick Paid in full and enter the amount you received. The receipt shows the total, the amount received and the balance still due. Use the notes to say when the rest is due.

Can a payment receipt be used as proof of payment?
Yes. A signed payment receipt that names the payer, the amount, the date and what it was for is the usual proof that a payment was made. Keep a copy, and keep the bank or card record too if there is one.
What is the difference between a payment receipt and a regular receipt?
A regular receipt lists what was sold, with quantities, prices and tax. A payment receipt only confirms that money was received and what it was for, so it is shorter. Use a payment receipt for deposits, private sales and one-off payments.
