How to fill in a weekly timesheet
- Add your name as the employee or contractor, and the client or employer you worked for. Add the job if there is more than one.
- Pick the first day of the week. The maker starts on the Monday of this week and fills in the seven dates.
- Enter the start and end time for each day you worked, and the unpaid break in minutes. Leave days off empty.
- Add your hourly rate if you want the pay worked out. Leave it empty if you only need the hours.
- Download the PDF and sign it, or send it to your supervisor or client to sign.
What a timesheet should include
- The name of the person who worked, and the client or employer
- The week it covers, with a date for every day
- A start time, an end time and the unpaid break for each day worked
- The hours for each day and the total for the week
- The hourly rate and the pay, if the timesheet is used for billing
- A signature and date for the worker, and one for the person who approves it
Timesheet for a contractor or freelancer
If you bill by the hour, a timesheet is the record behind your invoice. Clients ask what the hours were for far less often when they can see the days and times. Keep one timesheet per client per week, attach it to the invoice and enter the total hours as the quantity with your rate as the price. For trade work, the contractor invoice template has separate sections for labor, materials and equipment, and the service invoice template suits freelancers, cleaners and tutors.
Timesheets for employees and small teams
A small employer can print one blank timesheet per person per week and ask each person to fill it in and sign. A second signature line is there for a supervisor. What counts as paid time, how breaks are handled and when overtime applies depends on your agreement with the worker and on the rules where you are, so decide those first and write them down. This timesheet adds up hours and multiplies by one rate. It does not apply overtime or rounding rules, it is not a payroll system, and it is not legal advice.
Timesheets that run past midnight
Night and event work often ends after midnight. When the end time is earlier than the start time, the maker counts the shift as running into the next day, so 10:00 PM to 6:00 AM is eight hours before any break. If a shift is longer than a day, split it across two days.
Keep your timesheets
Save each week's timesheet as a PDF in one folder, named with the week and the client. They are the proof of the hours you billed or were paid for. Recent timesheets are also listed under the preview on this device, so you can open one again. After you download a week, press Start the next week to carry on with the same names and rate.
Example weekly timesheet
A filled weekly timesheet for a painter who works for one client: five days with different start times and breaks, no weekend work, and the pay worked out at an hourly rate.
- Worker, client and job. Who did the work, who it was for, and which job the hours belong to.
- Week of. The first day of the week. The other six dates follow from it.
- Start, end and break. The times worked each day and the unpaid break in minutes.
- Hours. Worked out from the times, as a decimal: 8 hours 30 minutes less a 30 minute break is 8.00.
- Total hours and pay. The week's total, the hourly rate and the pay, when you enter a rate.
- Signatures. One line for the worker and one for the supervisor or client to sign and date.

Questions people ask
Is there a free timesheet template?
Yes. The blank weekly timesheet on this page is a PDF to print and fill in by hand and a Word file you can edit. It has a row for each day of the week with start, end, break and hours, a total, an hourly rate and pay line, and signature lines. Or use the maker above, which adds up the hours for you.
How is the hours column worked out?
Hours are the end time minus the start time, minus the break in minutes, shown as a decimal with two places: 8 hours 30 minutes is 8.50. If the end time is earlier than the start time, the maker treats the shift as running past midnight. Total pay is the total minutes times the hourly rate, rounded once to the cent.
Is there a weekly timesheet template for a contractor?
Yes. Put your name as the employee or contractor, the client you worked for and the job, add your hourly rate and the pay is worked out for the week. Attach the timesheet to an invoice so the client can see the hours behind the amount.
Is there an Excel timesheet template?
Not yet. This page offers a PDF, a Word file and an online maker. The maker does the calculating, which is what most people want from an Excel timesheet. It does not export a spreadsheet.
What is the difference between a timesheet and a time card?
They are used almost interchangeably: a record of the hours someone worked, by day. A timesheet is more common for contractors and office work, a time card for clocking in and out at a workplace. This template works for either.
Does the timesheet calculate overtime?
No. It adds up the hours and multiplies by one hourly rate. Overtime, rounding and break rules depend on your employer, your agreement and your state, so work those out separately. This page is a record of hours, not a payroll tool, and it is not legal advice.
Can I use it for several weeks?
Use one timesheet per week. After you download one, press Start the next week to move the week-starting date forward by seven days, keep the names and the rate, and clear the times.
Is my information uploaded?
No. The timesheet is built in your browser and the PDF is made on your device. Your name and the timesheet you are working on are remembered on this device only, and you can turn that off with the tickbox in the first section.
