How to write a daycare receipt

  1. Add the provider. The name of the person or program that received the money, with an address and a phone number or email.
  2. Add the parent or guardian who paid.
  3. Add the child and the care period. The child's name, and the first and last date the payment covers.
  4. Enter the amount and how it was paid. Describe it on the line, for example Full-time child care, October.
  5. Type your name and download the PDF. Give the parent a copy and keep one yourself.

What a daycare receipt should include

  • The provider's name, address and contact details
  • The parent or guardian's name
  • The child's name
  • The dates of care the payment covers, such as the first and last day of the month
  • The amount received, the date and how it was paid, with a check number if there is one
  • Any balance still owed, and when it is due
  • The name and signature of the person who received the money

For providers: receipts that save you questions

Parents ask for receipts at the end of the month, at the end of the year and whenever a form asks for proof of what they paid. If you give a receipt with every payment, or one summary for the whole period, you answer those requests with a document you already have. Use the same wording each time: the child, the period, the amount. If you take a deposit to hold a place, give a receipt for it and say that it is a deposit. For regular invoices, the invoice maker shows what is due before it is paid, and the payment receipt page is the general version of this one.

For parents: keep your receipts

If your provider does not give receipts, show them this page. Keep each receipt together with the provider's name and address and the dates of care. Your employer or a tax professional may ask for them. This page does not give tax advice and does not say whether any child care cost qualifies for a benefit: ask a tax professional about your situation.

Babysitter and nanny receipts

The same receipt works for a babysitter or a nanny paid directly by a parent. Put the sitter's name as the provider, list the dates or the hours, and have the sitter sign. If you pay a nanny regularly, there may be obligations for a household employer that a receipt does not cover, and a tax professional can explain them. For hours worked, the weekly timesheet is a good record to keep next to the receipts.

Receipt, invoice or statement?

A receipt confirms a payment that has been made. A bill asks for one. If you want to ask for payment before it is made, send an invoice. For a payment that is only part of what is owed, the receipt shows the balance. A regular receipt lists items with prices; the daycare receipt does not, because child care is paid for a period, not by the item.

Questions people ask

What should a daycare receipt include?

The provider's name and address, the parent or guardian's name, the child's name, the period of care the payment covers, the amount, the date it was received, how it was paid and the provider's signature. The maker has a field for each one, and a receipt number so you can tell one from the next.

Is there a free daycare receipt template?

Yes. The blank daycare receipt template on this page has three receipts per Letter page with cut lines, each with the provider, the parent, the child, the care period, the amount, how it was paid, any balance and who received it. It comes as a PDF to print and as a Word file you can edit.

Can I use it for a babysitter or a nanny?

Yes. The receipt works for any child care you pay a person for: a babysitter, a nanny, a family child care home or a center. Type the provider's name and the dates of care. If you employ a nanny, there may be tax and paperwork duties for a household employer that a receipt does not cover, so ask a tax professional.

Can I use a daycare receipt for taxes?

A receipt is a record of what you paid, and your tax professional will tell you what you need to claim anything. This page does not give tax advice, and it does not say whether any child care cost qualifies for a credit or an account. Ask a tax professional, and keep the receipts together with the provider's details.

How often should a provider give a receipt?

Many providers give one with every payment, or one at the end of the month or the year that covers the period. Pick a rhythm, tell the parents, and keep a copy yourself. A running number on each receipt makes them easy to find.

Can I show a part payment or a balance?

Yes. Untick Paid in full and enter what was received. The receipt shows the balance still due. Write when the rest is due in the notes.

Is my information uploaded?

No. The receipt is built in your browser and the PDF is made on your device. Nothing you type, including the child's name, is uploaded. Your provider details can be remembered on this device and you can turn that off.
